Personal Assistant – Ophthalmology Department

  • Part Time Ongoing position
  • 46 hours per fortnight with potential to increase
  • Based in Parkville, with close transportation links

We are looking for a passionate and dedicated individual to join our Ophthalmology team. This position plays a vital role in the day to day running of the units’ administration and supporting key personnel within our team including the Ophthalmology Head of Department

Your new role:

  • Assist with the coordination and running of meetings, including scheduling, invitations, agendas and minutes.
  • Manage rosters including on-call for consultants, roster and calendar updates, timesheets, audit recall and overtime claim forms.
  • Leave management and leave register maintenance (outpatients, on-call, switchboard)
  • Onboard new staff to the department with organisation of ID card, IT access, carpark etc.
  • Manage SuccessFactors requests/processing/variations
  • Manage RosterOn, Paylock and submission of timesheets

About you:

  • Professional presentation, reception and customer service skills.
  • Demonstrated relevant administrative experience and ability to work in a confidential area.
  • Well-developed written and verbal communication, interpersonal skills.
  • Demonstrated organisational skills, initiative and attention to detail; ability to meet timelines
  • Strong information technology skills, including calendar management and virtual meetings.
  • Thrives in a multidisciplinary workplace.
