Fleet Coordinator – Facilities Management Helpdesk

About the Role:
The Fleet Coordinator oversees the coordination of the hospital’s fleet vehicles and associated administrative processes, with a strong focus on facilitating clinical outreach, ensuring compliance, and supporting sustainable transport initiatives.
Key responsibilities:
- Maintain currency of all fleet intranet documents and provide administration support in the area of fleet operations
- Maintain comprehensive fleet databases and systems, generate reports on vehicle usage, costs, and compliance metrics, and assist in budget monitoring
- Collaborate with external vendors and service providers, including vehicle suppliers, service centres, insurers, and auction houses, to support vehicle procurement, maintenance, and disposal.
- Support the hospital’s sustainability goals by assisting in the rollout and management of electric vehicles and associated infrastructure.
- Participate in audits and support the implementation of policies and procedures to enhance fleet management and safety.
About you:
- Certificate IV (or higher) in Business Administration, Logistics, Fleet Management, Facilities Management, or a related discipline; or Minimum five (5) years’ experience in a similar environment (e.g., fleet coordination, facilities, logistics, or operations administration).
- Demonstrated experience managing fleet systems, including booking platforms, key cabinets, and compliance databases.
- Strong knowledge of compliance requirements, including vehicle registrations, insurance, driver compliance, OH&S, and risk management.
- Proven ability to generate scheduled reports, monitor KPIs, and support budget processes.
- Experience liaising with suppliers, contractors, and internal stakeholders to deliver effective operational outcomes.
