Executive Assistant to the Chief Executive & Board Chair - The Royal Melbourne Hospital

The Royal Melbourne Hospital (RMH) is seeking a highly experienced and professional Executive Assistant to provide full executive support to the Chief Executive & Board Chair. This is an outstanding opportunity to step into a significant EA role at the centre of one of Victoria’s leading health services.

About the Role

As the trusted first point of contact for the Chief Executive and Board Chair, you’ll play a pivotal role in protecting the Chief Executive’s time, anticipating needs, and ensuring they are well-prepared for high-stakes meetings and engagements.

This is a role for someone with exceptional judgement, outstanding organisational capability, and the confidence to represent the Chief Executive’s office with influence when engaging with senior stakeholders across government, healthcare, and the wider community, making your ability to build strong relationships and navigate complexity essential.

Key responsibilities include:

 Act as the first point of contact for the Chief Executive & Board Chair, managing enquiries with professionalism, discretion, and sound judgement.

  • Manage complex diaries, correspondence, and competing priorities to ensure the Chief Executive’s schedule supports their energy, focus, and strategic priorities.
  • Prepare, coordinate, and quality-check agendas, board papers, minutes, and reports, ensuring governance processes, deadlines, and compliance requirements are met.
  • Build and maintain strong, trusted relationships with internal and external stakeholders, including government, healthcare partners, and community organisations.
  • Manage Department of Health and other key stakeholder correspondence, drafting and reviewing communications on behalf of the Chief Executive.
  • Schedule, brief, and prepare the Chief Executive for high-level meetings and engagements, ensuring accurate documentation and timely follow-up of actions.
  • Coordinate executive and board events, ensuring professional planning and delivery.
  • Exercise a high level of discretion, confidentiality, and judgement in managing sensitive information, escalating urgent matters and communicating key developments.

  • Communicate with confidence and credibility when representing the Chief Executive’s office to senior stakeholders across government, healthcare, and the wider community.
  • Keep priorities moving with exceptional organisational skills and the ability to manage multiple, often competing, demands.
  • Deliver governance, documentation, and reporting with high level accuracy, and attention to detail.
  • Manage confidential matters with absolute integrity, discretion, and sound judgement.
