Parkville Youth Mental Health and Wellbeing Service (PYMHWS) is Victoria’s newest public mental health service dedicated to the care of young people aged 12 to 25 experiencing complex mental health challenges.
PYMHWS is leading a bold and values-driven transformation in youth mental health care across Melbourne’s north and west. We are seeking a highly skilled and proactive Executive Assistant to support both the Director of People, Culture & Communications and the Director of Transformation. This is a unique opportunity to play a pivotal role in establishing a new organisation, supporting two executives who are driving transformation, culture, and strategy.

About the Role:
The EA will not only manage complex calendars, meetings, correspondence, and governance processes, but also act as a coordination hub across two portfolios. This role includes contributing to Board and governance support, preparing high-quality communications, coordinating projects, and owning the execution of internal communications materials. It’s an exciting opportunity for someone who thrives in a dynamic environment, can balance competing priorities, and enjoys making things happen.
What You'll Do:
- Deliver executive-level support to both Directors, ensuring the smooth and professional operation of their portfolios, including governance administration, and project coordination
- Act as a coordination hub across the PCC and Transformation portfolios, tracking milestones, actions, and deliverables
- Manage calendars, correspondence, meetings, events, logistics, and the preparation of high-quality documents.
About You:
We’re looking for someone who is:
✔️ Experienced: You’ve supported executives or Board-level leaders and understand the demands of a fast-paced, complex environment.
✔️ Proactive & Organised: You anticipate needs, juggle competing priorities, and thrive in dynamic, changing contexts.
✔️ Project-Minded: You can track milestones, follow up on actions, and keep initiatives moving.
✔️ A Communicator: You prepare clear, polished documents and presentations, and can manage day-to-day internal comms (intranet, newsletters, staff bulletins).
✔️ Digitally Savvy: Proficient in Microsoft Office, Canva, Adobe Creative Suite, and comfortable using collaboration tools like Teams, SharePoint, or Asana.
Relationship-Focused: You bring strong interpersonal skills to engage with staff, executives, government, and community partners.
