Parkville Youth Mental Health and Wellbeing Service (PYMHWS) is Victoria’s newest public mental health service dedicated to the care of young people aged 12 to 25 experiencing complex mental health challenges.

The Opportunity:
The Administration Manager is based at Parkville and is responsible for the effective co-ordination and oversight of administrative services across PYMHWS sites including Parkville, Footscray, Spotswood, Werribee, Sunshine and Wyndham.
The role provides strategic and operational leadership to a team of administrative staff, ensuring the delivery of high-quality, efficient, and consistent administrative support that aligns with the needs of multidisciplinary clinical teams operating across PYMHWS.

About the Role:
The Administration Manager is accountable for supervising day-to-day administrative functions, including reception, records management, bookings, and general office coordination. The role also plays a central part in staff supervision, performance development, training, and workforce planning, ensuring appropriate service coverage and team capability.
The position acts as a key liaison between administrative staff and clinical leadership, facilitating effective communication, collaboration, and service integration across sites.
A key requirement for the role will be to analyse the current administrative functions against organisational requirements and provide recommendations on improved service delivery.
What You'll Do:
- Lead, supervise and support administrative staff across all PYMHWS sites.
- Monitor administrative workload to ensure effective coverage across multiple sites.
- Ensure accurate and timely collection of administrative in clinical and administrative IT systems for clinical governance and reporting purposes.
- Serve as the key point of contact between administrative staff and clinical/program leadership.
- Manage administrative resources, equipment, and supplies across PYMHWS sites.
About You:
The successful candidate will demonstrate leadership capabilities, exceptional organisational and communication skills, and a commitment to fostering a positive, accountable, and high-performing team culture.
✔️ Familiarity in using the Victorian statewide mental health system CMI/ODS; experience in using an EMR and PAS eg. iPM; and a working knowledge of Microsoft 365 (MS Teams, Outlook, Sharepoint)
✔️ Experience in managing or co-ordinating administrative functions within a healthcare or mental health setting.
✔️ High-level organisational and time-management skills, including the ability to prioritise competing demands across multiple sites.
✔️ Excellent interpersonal and communication skills, with the ability to work collaboratively with multidisciplinary teams.
✔️ Leadership skills with experience supervising staff, managing performance, and fostering team development.
